Visa Information

Participants are responsible for obtaining the appropriate visa to enter Japan. To check whether you require a visa, please visit the website of the Ministry of Foreign Affairs of Japan (MOFA).

The conference organizers are unable to intervene in visa matters or communicate with Japanese embassies or consulates on behalf of applicants.

Visa Support Documents

Participants who require supporting documents for their visa application (e.g., a Letter of Invitation) are kindly requested to note the following:

Eligibility

Visa support documents can be issued by the APMC 2026 Steering Committee to conference registrants (e.g., presenters, co-authors, session chairs, and committee members of APMC 2026) and their accompanying family members or acquaintances.
Please note: Pre-Registration and full payment must be completed before a visa support document can be issued.

Important Notes

  • Short-term visas for Japan are generally issued with a validity period allowing entry within three months from the date of issue.
  • Participants are advised to apply for visa support documents in accordance with this timeline to ensure sufficient time for visa processing before the conference (November 8 – 11, 2026).
  • The conference organizers will issue required documents after confirming registration status; however, issuance of these documents does not guarantee that a visa will be granted.
  • All visa-related fees and application procedures are the sole responsibility of the applicant.
  • Participants who require a Letter of Invitation for their visa application are requested to complete the "Visa Supporting Letter form" (Excel) and email it, together with a copy of the passport page for every person applying for the visa (including accompanying family members or acquaintances, if applicable) and the relevant documents, to the Secretariat.   • All forms, together with copies of passports and registration fee receipts, should be collected by one representative and sent together in a single email to the conference secretariat. Individual submissions will not be accepted.
  • Please note that document review and preparation may take a little extra time, as the Secretariat may receive a large number of submissions around the same period, and processing may also be affected by public holidays such as the Obon holiday season or other consecutive holidays. We therefore recommend completing these procedures as early as possible.
